Job Description

Upper School Administrative Assistant Provide support to the Upper School Principal and other administrative staff and faculty in the daily operations of the Upper School at Whitefield Academy. Key Responsibilities: Serves as receptionist in the Upper School office by greeting and assisting visitors, students, parents, and faculty; answering and handling phone calls. Processes student admittance and dismissals; records attendance and arranges early releases. Takes responsibility for updating Upper School events with the all-school calendar manager. Maintains the calendar for functions in the Louise Owens Theater and the Upper School conference room. Notifies maintenance crew of set-up arrangements for special programs and events. Screens the Upper School Principal's visitors and phone calls. Schedules appointments for the Upper School Principal. Keeps the copiers in working order by notifying repair services. Attends staff meetings and serves on committees as required Demonstrates stewardship of Whitefield resources and spaces Adheres to the bylaws, policies and procedures, and to all laws that govern the school and its actions Supports commencement through the ordering of regalia, diplomas, graduation cords, and the senior Bibles Partners with the school nurse and school counselor to ensure students receive necessary services Drafts the weekly Monday Memo to Upper School staff and sends to the principal for review and publication Supports the principal in developing schedules that meet the needs of alternative school days Contributes to planning Upper School events, including but not limited to open houses, 9th grade orientation, admissions events, staff Christmas party, etc. Orders all supplies for the Upper School staff Collaborates with principal to determine the summer task list for a successful launch of the school year; oversees the completion of the tasks Coordinates schedules and communication for all students taking exams at alternative time Collaborates with Sub Coordinator to ensure all classes have coverage Other responsibilities as assigned by administration Professional and Personal Attributes, Skills, Knowledge and Experience: Bachelors degree is required Maintains professional discretion and confidentiality at all times Engaging interpersonal skills and ability to develop rapport with students, parents, and faculty Strong desire to help others and ability to inspire respect, trust, and confidence Ability to work independently and part of a team Demonstrates excellent oral and written communication skills Demonstrates computer literacy and proficiency (e.g., word processing, spreadsheets, email, Internet, and presentation software) In addition, the person should: Commit to living his/her life under the lordship of Christ Model a consistent daily walk with Jesus Christ, and be a Christian role model in speech, actions, and attitudes, which contributes to the spiritual atmosphere of the school Believe and affirm the school's Statement of Faith Commit to exhibiting Whitefield's core value for our students to experience diversity that reflects the body of Christ and support the school's diversity vision that aims at unity in Christ Demonstrate evidence of consistent spiritual activities such as worship at a local church, fellowship with the body of Christ, personal devotional time with the Lord, and individual study of scripture Evidence of the fruit of the Spirit in the nurturing of relationships with other staff members, students, families, and the community at large Be actively involved in a local church Work Environment and Physical Demands: The work environment and physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.
